Doctors and working hours

PMS → Doctors lists the doctors synced from your practice management system. Click a doctor to manage them — each doctor’s page is the only place their settings live.

#Profile

The name Voxlera uses for the doctor, for example in {{doctorName}}. Changing it here doesn’t change your PMS.

#Working hours

The doctor’s weekly schedule. Voxlera uses it to work out free appointment times: the doctor’s working hours minus the appointments already booked in your PMS. A doctor’s hours can’t extend beyond your clinic’s opening hours (set in Clinic Settings → Edit clinic).

#Calendar integration

Connect the doctor’s Calendly account to let agents book consultations into it:

1. The doctor creates a personal access token in their Calendly account settings.
2. Paste it here. Voxlera shows the account it belongs to and its event types.
3. Choose the event type to book (for example “Consultation, 30 minutes”) and save.

Use Test to check the connection and Disconnect to remove it. The token is stored encrypted; only its last four characters are ever shown.

When a doctor has both your PMS and a calendar, agents only offer times that are free in both.

AI consulting booking decides whether the consultation agent may book with this doctor. It can only be switched on once a calendar is connected, and switches off if the calendar is disconnected.

#Website form snippets

The Doctors page also holds the snippets for the forms you can put on your website:

• Consulting booking embed — for consultation requests.
• International enquiry embed — for international patients.

Click Generate the first time, then Copy the snippet and give it to whoever manages your website. Regenerate replaces the snippet: the old one stops working immediately.
