International enquiry form

The embeddable form for patients abroad — AI call in their language, then a WhatsApp booking link.

The international enquiry form is built for clinics that treat patients travelling from abroad. A visitor tells the clinic which treatment they are interested in and which language they speak; Voxlera calls them in that language, and if they want to go ahead, sends them a booking link on WhatsApp.

Snippet

Copy it from the dashboard: Doctors → International enquiry embed. It looks like this:

<iframe
  src="https://app.voxlera.co/embed/enquiry/{token}"
  style="width:100%;max-width:520px;height:780px;border:0;"
  title="Treatment enquiry"
></iframe>

This token is different from the consultation form’s token. Both forms can run on the same site. See Website embeds for sizing, rotation and troubleshooting.

What the visitor fills in

FieldRules
Full nameRequired, up to 200 characters
Phone numberRequired, international format with country code
EmailOptional
Treatment interestRequired, chosen from a fixed list (including “Not sure / Other”), with an optional free-text description
Preferred call timeAs soon as possible (default), morning (09:00–12:00), afternoon (12:00–17:00) or evening (17:00–20:00) — in the visitor’s own time zone
Preferred languageRequired: English, Turkish, German, Russian, Arabic, Spanish, French or Bulgarian
CountryOptional
Notes for the doctorOptional, up to 2,000 characters
ConsentRequired: “I agree to be contacted by phone and on WhatsApp about my enquiry.”

The form detects the visitor’s time zone from their browser and shows call times in it. If that’s wrong, the visitor can pick a different one (“not right?”).

The form itself is shown in English; the visitor’s preferred language decides the language of the call and messages that follow.

What happens after a submission

  1. Voxlera records the enquiry and the visitor’s consent to be contacted by phone and WhatsApp.
  2. A call is scheduled: within a couple of minutes for “as soon as possible”, otherwise in the chosen band. Calls are only placed between 09:00 and 20:00 in the visitor’s local time.
  3. The AI assistant calls in the visitor’s chosen language, discloses that it is automated, and talks through their enquiry.
  4. If the visitor wants to book, they receive a WhatsApp message with a link to book a consultation. If they miss the call, they get a WhatsApp message about the missed call instead.
  5. Replies on WhatsApp are answered by the clinic’s AI assistant, and the clinic’s team can follow the conversation in the dashboard.

Before you go live

The clinic’s enquiry funnel needs to be configured in the dashboard first — which doctor consultations are booked with and how booking works. Ask the clinic to confirm this with their Voxlera onboarding contact, then make a test submission with a phone number that has WhatsApp.
